Plan session timings and see whether your agenda fits your available time.

How to Build Your Conference Agenda

  1. Enter the event’s start time.

  2. Enter a planned finish time if you have a fixed deadline.

  3. Add each presentation, discussion, break and handover in the order it will run.

  4. Enter each item’s duration in whole minutes.

  5. Review the calculated schedule, then copy or print the results.

Include operational tasks that take time, such as welcoming the audience, changing speakers and preparing equipment.

Example: A Morning Conference Schedule

An event starting at 09:00 could include:

  • Welcome and opening remarks: 10 minutes.

  • Keynote presentation: 30 minutes.

  • Audience questions: 10 minutes.

  • Break: 15 minutes.

  • Panel discussion: 40 minutes.

  • Closing remarks: 10 minutes.

These items total 115 minutes, so the event finishes at 10:55. If the planned finish is 11:00, the agenda leaves five minutes of spare time.

Enter these items into the calculator to see the start and finish time of every session.

Include Breaks and Speaker Handovers

A schedule can look achievable until the gaps between presentations are considered. A microphone change, speaker introduction or equipment adjustment still takes time.

Add handovers as separate rows when they need their own allowance. Add breaks explicitly too; the calculator does not insert them automatically.

This makes it easier to see where your schedule needs more space before you share it with speakers and staff.

Check Whether the Agenda Fits Your Finish Time

When you enter a planned finish, the calculator compares it with the calculated ending time. It shows spare minutes, an exact fit or the amount by which the agenda runs over.

If the schedule is too long, review session lengths with the event organizer. You might shorten a discussion, move questions to a separate session or adjust a break. Avoid removing essential handover time simply to make the numbers fit.

Frequently Asked Questions

Can I include lunch and coffee breaks?

Yes. Add each break as a separate row with its own duration.

Does the calculator handle events that cross midnight?

Yes. A calculated time after midnight includes a day indicator. If the planned finish time is earlier than the start time, it is treated as a finish on the next day.

What happens if the planned start and finish times are identical?

They are treated as the same time, giving zero available minutes. They do not represent a 24-hour event.

Can I save or share the agenda?

You can copy the results into a document or email, or print them. The calculator does not save the agenda between page visits.

Does it update my MyStageClock sessions automatically?

No. The calculator helps you plan the agenda. You will need to create the corresponding sessions in the app.

Does it convert between time zones?

No. It uses the clock times you enter and adds session durations. It does not convert time zones or adjust for daylight-saving changes.
